Reynolds Groundworks Ltd ("we", "our" or "us") is a groundworks contractor based in Buckinghamshire, England. We are the data controller for the personal information collected through this website, reynoldsgroundworks.com.

This policy explains what information we collect when you use our website, how we use it, who we share it with and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Information we collect

  • Contact enquiries. When you use our contact form, we collect your first name, email address, phone number (if you provide it) and the message you send us.
  • Job applications. When you use our job application form, we collect your first name, email address, phone number (if you provide it) and the details you give about your experience and the positions you are interested in.
  • Technical and usage information. When you visit the site, we and our service providers automatically collect information such as your IP address, browser type and version, device type, the pages you visit and the date and time of your visit. Some of this is collected by the security tools described in section 4.
  • Marketing preferences. If you have agreed to receive marketing from us, we keep a record of that consent and of any later request to stop.

3. How we use your information and our legal basis

UK data protection law requires us to have a legal basis for using your personal information. We rely on the following:

  • Responding to enquiries and providing quotes. We use your contact details and message to reply to you and to take the steps you ask for before entering into a contract. 4. Website forms and the services we use

Our website relies on a small number of third-party services that process personal information on our behalf.

  • Formspree (form processing). Our contact and job application forms are processed by Formspree, Inc. When you submit a form, your information is sent securely to Formspree, which forwards it to us by email and keeps a copy in our Formspree account so that we have a record of your submission. Formspree processes this information only on our instructions. Formspree's own privacy policy is available on formspree.io.
  • Google reCAPTCHA (spam and bot protection). Our forms are protected by Google reCAPTCHA Enterprise, which helps us tell genuine visitors from automated software. To do this, reCAPTCHA collects hardware and software information, such as your IP address, browser and device details and how you interact with the page, and sends it to Google for analysis. Use of reCAPTCHA is subject to the Google Privacy Policy and Terms of Service.
  • Website hosting and email. Our hosting provider and email provider process data as needed to deliver the website to you and to deliver form submissions to our inbox.
  • Analytics. We may use a website analytics tool to understand how visitors use the site. Where such a tool uses cookies that are not strictly necessary, we will ask for your consent before setting them.

5. International transfers

Formspree and Google are based in the United States, so information you submit through our forms may be stored or processed outside the UK. Where this happens, we rely on safeguards recognised under UK data protection law, such as the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses together with the UK International Data Transfer Addendum, so that your information receives an equivalent level of protection.

6. Cookies

Our website uses a small number of cookies and similar technologies:

  • Security cookies. Google reCAPTCHA sets a cookie (for example, _GRECAPTCHA) that it uses to assess whether traffic is genuine. This is necessary for our forms to work safely.
  • Functional cookies. Our hosting platform may set cookies needed for the site to load and perform correctly.

You can control or delete cookies through your browser settings. Blocking security cookies may prevent our forms from submitting.

7. How long we keep your information

  • Contact enquiries: up to 12 months after our last contact with you. If you become a customer, we keep your details as part of our customer records for as long as we work together and afterwards for as long as we are required to for tax, accounting and legal purposes (typically six years).
  • Job applications: up to 6 months after we have filled the position or let you know the outcome, unless you ask us to keep your details on file for future opportunities. If we employ you, your application becomes part of your employment records.
  • Form submissions held by Formspree: deleted in line with the periods above.
  • Marketing consent records: for as long as we send you marketing and for a reasonable period afterwards so that we can show what you agreed to.

8. Who we share your information with

We do not sell your personal information. We share it only:

  • with the service providers described in section 4, who act on our instructions;
  • with our professional advisers and insurers where necessary;
  • where the law requires it, or in response to valid requests from public authorities;
  • if our business is sold or transferred, with the new owner, who would be bound by this policy.

9. Security

Our website is served over an encrypted (HTTPS) connection, form submissions are transmitted securely, and access to submissions is limited to the people who need it. No method of transmission over the internet is completely secure, so while we take reasonable steps to protect your information we cannot guarantee absolute security.

10. Your rights

Under UK data protection law you have the right to:

  • access the personal information we hold about you;
  • correct information that is inaccurate or incomplete;
  • ask us to delete your information in certain circumstances;
  • restrict how we use your information in certain circumstances;
  • object to our use of your information where we rely on legitimate interests, and to direct marketing at any time;
  • receive a copy of information you gave us in a portable format;
  • withdraw consent at any time where we rely on it, without affecting anything done before you withdrew it.

To exercise any of these rights, contact us using the details in section 12. We will respond within one month. You can stop marketing emails at any time using the unsubscribe link in any email or by contacting us.

If you are unhappy with how we have handled your information, you have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk, telephone 0303 123 1113, or Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF. We would appreciate the chance to resolve your concerns first.
